Main Purpose of Job

  • To ensure the efficient administration of all new and used vehicles for the Dealership Car Sales
  • Department within defined operating policies.
  • To provide secretarial assistance as required to the Sales Manager and Sales Executives.

Detailed Responsibilities

  • Continuously monitor vehicle availability and transit to Dealership. Organising transport for vehicles as and when necessary.
  • File and record all new vehicle delivery information. Create files for all new vehicles in stock. Keep up to date new and used vehicle stock record books showing all vehicle details (colour, chassis number, specification, date of delivery etc). Create stock lists for all cars (ie new, used, demonstrators)
  • Prepare and complete all sales invoices in a timely manner. Check for accuracy of deposits, part exchanges and all related items. Ensure routing to appropriate departments.
  • Creation of external purchase orders and internal WIPs to ensure all work required to be completed on a vehicle is done in a timely manner. Maintain records showing retail vehicles and reconditioning costs.
  • Provide secretarial assistance as required to the Sales Manager and Sales Executives including, typing correspondence, answering telephones, sending and checking e-mails.
  • Booking training courses and making travel arrangements.
  • Processing of all parking and speeding fines.
  • Maintain the vehicle funding scheme.
  • Preparation of taxation paperwork and generation of payment to the DVS.
  • Completion of administrative tasks for Jacksons Guernsey Setting up cars and invoicing mainly.
  • Any other reasonable request as required by the Sales Manager and Sales Administration Manager. This may require cover for another job or assistance with both external and internal events.
