About the Role
As a Service Advisor, you will be the main point of contact for customers throughout their service or repair visit. You’ll manage bookings, coordinate workshop activity, provide updates, authorise additional work, and ensure customers receive a seamless and premium experience from start to finish. Your role contributes directly to workshop efficiency, customer retention, and the promotion of additional services, accessories, and products.
Key Responsibilities
- Schedule customer service and repair appointments in line with QMA processes, confirming arrival times and onward travel arrangements.
- Arrange Service Loan Cars or courtesy transport where required.
- Accurately load the workshop using the Reservation System, capturing all relevant customer and vehicle information.
- Welcome customers promptly and professionally, confirming service and repair needs.
- Conduct road tests or vehicle inspections as required.
- Deliver friendly, efficient, and personalised customer service.
- Promote accessories, parts, and additional services to customers.
- Prepare Repair Orders, estimates, and payment details; obtain customer signatures and record vehicle mileage.
- Stamp Service Books where necessary and complete vehicle condition checks.
- Take responsibility for customer vehicles, keys, and parking arrangements.
- Monitor workshop progress to meet agreed delivery times and proactively update customers on progress or delays.
- Notify customers of any additional work required and obtain authorisation, ensuring revised completion times are agreed.
- Check the quality of work and cleanliness of vehicles before handover.
- Present the completed vehicle to the customer, offering guidance on future maintenance or repairs.
- Explain invoices clearly, including warranty and goodwill procedures, and take payment where applicable.
- Maintain accurate customer records and Repair Order Registers on a daily basis.
- Carry out follow-up calls to confirm customer satisfaction.
- Maintain a clean, organised, and welcoming Service Reception area, ensuring reference materials are up to date.
- Stay informed on product, technical, warranty, and goodwill information through bulletins and training sessions.
Person Specification & Experience Required
- Previous experience in a customer-facing automotive service or workshop environment.
- Excellent communication and interpersonal skills, with a professional and friendly manner.
- Strong organisational skills, with the ability to manage appointments, workflow, and customer expectations.
- Attention to detail in documentation, vehicle condition checks, and invoicing.
- Knowledge of vehicle service procedures, technical information, and warranty processes.
- Ability to promote additional products and services effectively.
- Competent in using workshop management systems or reservation software.
- Ability to manage multiple tasks efficiently and prioritise workload.
- Team-oriented with a proactive and adaptable approach to changing customer or workshop demands.
